Job Description:

Our client is currently seeking a highly organized and detail-oriented individual to join their team as an Administrative and Accounting Assistant. In this role, you will be responsible for a variety of tasks including accounting duties, administrative tasks, liaison with external parties, and providing support for exhibitions and events. Additionally, you will be required to perform simple translation duties from English to Japanese.

Accounting Duties:
★Prepare necessary documents for accounting purposes.
★Key-in accounting data accurately and efficiently.
★Assist with financial record-keeping and reporting as required.

Data and Document Management:
★Manage data and documents used within the department, ensuring proper organization and accessibility.
★Create and maintain electronic and physical filing systems.

Administrative Duties:
★Create and manage various documents such as correspondence, reports, and presentations.
★Handle guest inquiries and arrangements, including scheduling appointments and arranging accommodations.
★Coordinate business trips, including travel arrangements and itinerary planning.

Liaison with External Parties:
★Act as a point of contact for external Japanese related parties.
★Facilitate communication and collaboration between internal teams and external stakeholders.

Appointment Setting and Meeting Arrangements:
★Schedule appointments for team members and arrange meetings as necessary.
★Coordinate meeting logistics, including room bookings, equipment setup, and refreshments.

Support for Exhibitions and Events:
★Assist in the planning and organization of exhibitions and events.
★Provide logistical support before, during, and after events as needed.

Translation Duties:
★Perform simple translation tasks from English to Japanese and vice versa.
★Translate documents, emails, and other communications accurately and promptly.

★Previous experience in administrative and/or accounting roles preferred.
★Strong organizational skills and attention to detail.
★Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
★Excellent communication and interpersonal skills.
★Ability to multitask and prioritize tasks effectively.
★Fluency in both English and Japanese languages for translation duties.
★Knowledge of Japanese business culture and etiquette is a plus.
★Flexibility to adapt to changing priorities and work under pressure.
